When you need to work on a project with others, you may need to use a specific tool. But did you know that you can collaborate right in the Messages app on iPhone, iPad, and Mac? You can share files, work on them together, see activity updates, and more. This guide shows you how to collaborate on all of these platforms in the Messages app.

System and iCloud Requirements for Collaborating in Messages

Before you start using Messages to collaborate on a project, be sure you meet the following requirements:

You and your collaborators must use iMessage.

You and your collaborators need iOS 16 or later, iPadOS 16 or later, or macOS Ventura or later.

You must save the file you want to share on an accessible location, such as iCloud Drive.

You must have iCloud enabled for the app you plan to use, for instance, Pages, Notes, or Numbers.

For viewing, editing, or inviting others to a shared iCloud document, you must meet one of the following minimum requirements:

An iPhone or iPad running iOS 15 or iPadOS 15 or later with Pages, Numbers, or Keynote 12.2 or later.

A Mac running macOS Monterey or later with Pages, Numbers, or Keynote 12.2 or later.

Features Unavailable for Collaborating on Shared Documents

The features mentioned below aren’t available when working together on a shared document in Pages, Numbers, and Keynote.

Creating, deleting, or reordering styles

Creating or editing custom cell formats

Dragging columns and rows between the body and headers of tables

Editing using Ruby in Asian languages

Replacing all font occurrences

Reducing the file size

How to Collaborate in Messages on iPhone and iPad

To start working on a project together in Messages on iPhone or iPad, share the file from one of Apple’s applications, like Notes, Pages, Numbers, or Keynote. From there, you can discuss the project and view its activity in Messages. Follow the steps below to get started.

How to Share a File on iPhone and iPad

To share the file to Messages, open the app, then follow these simple steps.

Tap the “Share” button in the top right.

    In the drop-down box that appears at the top of the pop-up window, select the “Collaborate” button. If you choose the “Send Copy” option located further down the list, this only shares a copy of the file and doesn’t activate the collaboration features.

      Tap “Only invited people can edit” to adjust document access and permissions.

        Listed below are the following access and permission options. When you finished toggling these settings, select “Done” on the top right.

        Who can access: choose either “Only invited people” to limit access to people you choose or “Anyone with link” to expand the access to anybody who has a link.

        Permission: choose either “Can make changes” to allow collaborators to edit the file or “View only” to prevent edits and give read-only permission.

        Allow others to invite: turn on this toggle if you want to allow collaborators to invite others to the file.

          Choose one of your recent Messages conversations or start a new one by selecting “Messages” in the row of share options.

            When the file appears in the text field of the Messages app, you can adjust the access and permission settings once more, if necessary, and add a message. Tap the blue “Send” button.

            How to View the File Activity in Messages on iPhone and iPad

            When a collaborator makes a change to the file you’ve shared, you’ll see this activity in the Messages app. This is a great way to stay on top of edits without the need to open the file and check manually.

            Open the project conversation in Messages to see whether changes were made to the file at the top of the conversation. You can also see who made the change and when they made it.

              Tap “Show” or “Review” next to the activity to see the changes.

              How to Stop Collaborating on iPhone and iPad

              When the project comes to an end or if you simply want to stop collaborating, use the sharing options in the corresponding app to remove access from the file.                                       1) Launch Safari on your Apple device.

You can also delete the group from this menu, and copy links.

                                      6) To add new tabs to this group, simply tap on the tabs button and hit the ‘+’ icon. All new tabs will be added to the group you just created.

                                      7) You are also able to move tabs between tab groups. To do this, press and hold on a tab in a group and tap the Move to Tab Group option. This menu even lets you arrange tabs by title or by website.

                                      8) If you want to close all the tabs in a group, then press and hold the tabs button in an open webpage and select Close all tabs.

                                      As you can see, there’s a lot you can do with the new Tab Groups feature on iOS and iPadOS 15. You can move between different tab groups by swiping left or right on the address bar.

                                      How to zoom in or out on Mac natively

                                      macOS offers you a wide range of methods to trigger the zoom functionality on your computer. 

                                      Method #1: Using Trackpad’s Pinch gesture

                                      Macbook’s trackpad is by far the best version of a trackpad that exists out there, not just for its smoothness and seamlessness but also for how many gestures it incorporates inside of it. One of the simplest features you can make sure of with Mac’s trackpad is the ability to zoom in or out of a page, image, or PDF using just your fingers. 

                                      Inside the Trackpad window, select the Scroll & Zoom tab at the top, and check the “Zoom in or out” box.

                                      Once you have enabled this option, you zoom in and out on your Mac using the trackpad and two of your fingers. For the sake of ease of functionality, you should use your index and middle fingers to use the zoom capabilities of the trackpad. 

                                      To zoom in on something on a Mac, place two fingers on the trackpad and move them apart. The more you move the fingers away from each other, the more zoomed-in the view shall be. You can repeat the gesture again to zoom in even further. 

                                      Similarly, you can zoom out of an image or webpage by placing two fingers (with some gap between them) on the trackpad and pinching them in. If you aren’t fully zoomed out to the original view, you can repeat the pinching mechanism to achieve a full zoom-out. 

                                      Method #2: Using Keyboard shortcuts

                                      Now, check the box adjacent to ‘Use keyboard shortcuts to zoom’. 

                                      Once this option has been enabled, you can use these three Zoom features directly using their relevant keyboard shortcuts:

                                      Zoom in: Option + Command + ‘=’ (Equals sign)

                                      Zoom out: Option + Command + ‘-‘ (Minus sign)

                                      Toggle zoom: Option + Command + 8; you can use this to quickly switch between your last amount of zoom and mo zoom view 

                                      Method #3: Using your Macbook’s Touch Bar

                                      Now, select the ‘Enable Touch Bar zoom’ option from the screen. 

                                      To see the zoomed Touch Bar on your mac’s screen, hold a finger on the Touch Bar, not tap on it. This only works if you keep your finger pressed on the Touch Bar. 

                                      You can increase and decrease the zoomed view of the Touch Bar by pressing and holding the Command key and then pinching in and out with two fingers on the Touch Bar. 

                                      Highlighting an item from the zoomed-in view can be done by sliding a finger on the Touch Bar, holding on the bar when you reach the item, wait for the highlight to change color, and then lift the finger to activate the highlighted option. 

                                      Method #4: Using Scroll gesture with modifier keys

                                      Now, check the “Use scroll gesture with modifier keys to zoom” box. 

                                      After you have set your modifier keys for zoom, you can now zoom in on any window or screen. If the Control key is your modifier key, then to zoom in on something, you will have to press and hold the Control key and scroll downwards. Similarly, you can zoom out by pressing and holding the modifier key (in this case, Control) and then scroll upwards. The zoom in/out function using modifier key works with both a mouse or a trackpad. 

                                      Method #5: Using Hover Text feature

                                      macOS’ Hover Text feature lets you see a larger version of something your pointer is at. This tool can be used to see high-resolution zoomed versions of texts, menu items, buttons, input fields, and more. This means you cannot use this feature to zoom into images, your screen, pdfs, and more. 

                                      Next, check the box adjacent to ‘Enable Hover Text’. 

                                      You can start using the feature by pressing and holding the Command key on your keyboard and then directing the cursor to a region with text on it.

                                      Method #5: Enable Smart Zoom for zooming in on PDFs and images

                                      Now, check the ‘Smart Zoom’ box. 

                                      When you enable Smart Zoom, you can use two fingers to double-tap on the trackpad. This should let you zoom into webpages, PDFs, and images and this can also be achieved by double-tapping on your mouse with one finger. 

                                      Method #6: Using Page Zoom on Safari

                                      While you can manually zoom in on webpages inside Safari as you would do on images and documents, there’s also another way to get a zoomed-in view using Safari, one which automatically zooms into the page for you. This is possible using the Page Zoom feature inside Safari which lets you preset the zoom setting for the websites you visit individually or for all of them. 

                                      Inside the Preferences window, go to the Websites tab at the top and choose the Page Zoom tab from the left sidebar. 

                                      On the right-hand side of this window, you can choose the zoom settings for the sites you wish to zoom in automatically.

                                      When a set of options appear, select your preferred zoom setting from inside the ‘Page zoom’ section.

                                      as Columns: When you select column view, you will be able to see the current folder and previous folder at the same time as well as a preview of the file that’s highlighted. A file preview, when selected, will be shown on the right-hand side with other details like when it was created, size, and more. 

                                      as Gallery: Gallery view is similar to Column view with the difference being that you get a larger size thumbnail preview of a highlighted file, and other items in a folder will only be visible as thumbnails at the bottom.

                                      Inside the ‘Sidebar icon size’ section, select the ‘Large’ option from the list of options.

                                      If zooming into something or increasing the size of icons and texts aren’t helping you view items on your Mac’s screen, then you can take a look at the tips explained below so that you can see them better. 

                                      Enable darker borders

                                      Now, select the ‘Increase contrast’ option.

                                      macOS will then decrease the transparency of the system and the borders around the buttons, boxes, and other elements will now be even more visible. 

                                      Reduce transparency inside your desktop

                                      On this screen, select the ‘Reduce transparency’ option.

                                      When you do that, app windows and areas of the desktop will become gray. 

                                      Use Dark Mode on your Mac

                                      Now, select your preferred setting inside the ‘Schedule’ section. You can also choose the right color temperature you want on this screen.

                                      Disable the “Shake mouse pointer to locate” option

                                      If you’re having problems spotting your mouse pointer when it moves around on your screen, you can make it increase its size for a few moments temporarily so that it is easier to locate on your Mac.

                                      To use this feature, quickly move your mouse pointer by sliding a finger on your Mac’s trackpad or moving your mouse to see the pointer get enlarged for a short while.
